A Brief Overview
The Onboarding Manager is a passionate and experienced leader central to shaping the first impression and early experience of every new Associate. This role is responsible for designing, implementing, and continuously refining the end-to-end pre-employment coordination and onboarding lifecycle. The Manager oversees departmental activities, ensures data accuracy, and supervises the day-to-day operations of the Talent Acquisition Onboarding Specialist team. By modeling the organization's Mission, Vision, and Values, the Onboarding Manager ensures new hires feel welcomed, informed, and equipped to succeed from day one. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.
What You Will Do
- Leadership and Supervision Demonstrates strong staff management skills by mentoring, coaching, and developing the Onboarding Specialist team to ensure high performance and professional growth. Provides project support to Talent Acquisition leadership and the Senior Director of Talent Acquisition. Leads onboarding specialists and participates in onsite new hire orientation sessions in coordination with the Organizational Effectiveness team. Acts as the primary point of contact for vendors serving the onboarding team, ensuring services are accurate, efficient, and compliant through regular audits.
- Pre-Employment and Compliance Management Oversees all pre-employment processes, including background checks, drug screenings, I-9 verification, and new hire paperwork collection. Ensures strict adherence to all applicable federal and state labor laws and organizational policies throughout the onboarding process. Maintains accurate and complete employee records within the HRIS and ensures high standards of data integrity.
- Cross-Functional Collaboration Partners with HR Tech, IAM, and OTD to ensure equipment and system access are ready prior to each new hire’s start date. Collaborates with hiring managers and department heads to develop role-specific onboarding plans and training schedules that accelerate time-to-productivity. Maintains effective relationships with other department staff and team members through strong interpersonal communication.
- Metrics and Continuous Improvement Tracks and analyzes key onboarding metrics, including new hire satisfaction scores, time-to-productivity, early attrition rates, and milestone completion rates. Presents data-driven recommendations to HR leadership and implements regular improvements to the onboarding program. Identifies alternative solutions and approaches to problems using logic and reasoning to improve the overall onboarding experience.

Experience Qualifications
- Required: Five (5) years of experience in staffing, onboarding, recruitment, or related field.
- Preferred: Two (2) years of leadership experience in a supervisory role.
- Must have hands on experience conducting pre-employment new hire onboarding experience, and understand workflows and best practices.
- Substitution: Combination of education and related experience equivalent to nine (9) years, in lieu of education requirement.

Physical Demands
