As a key member of the Operations team, you will take ownership of payroll delivery, contractor lifecycle management, compliance processes, and operational efficiency initiatives while acting as the primary operational lead for the Boston office. You will partner closely with Finance, Sales, Compliance, HR, and the wider Operations function to ensure exceptional service delivery to clients, contractors, and internal stakeholders.

Key Responsibilities

  • Lead payroll operations for the Boston business, partnering with the main Operations Centre (Orlando) to ensure the accurate and timely processing of high-volume bi-weekly payrolls through ADP.
  • Oversee payroll controls, timekeeping processes, and compliance with company policies, Federal and Local State wage and hour regulations.
  • Act as the senior escalation point for payroll, contractor, and operational matters, providing guidance and resolution for complex issues.
  • Drive continuous improvement initiatives across payroll, finance, compliance, and contractor administration processes to improve efficiency, accuracy, and scalability.
  • Manage contractor onboarding operations, ensuring background screening, drug testing, employment documentation, and compliance requirements are completed efficiently and in accordance with regulatory standards.
  • Oversee contractor lifecycle management, including contract generation, renewals, amendments, offboarding, and ongoing compliance monitoring.
  • Partner with the Finance team to support accounts receivable processes, invoice management, and operational financial reporting.
  • Maintain oversight of contractor travel coordination and vendor relationships, ensuring cost-effective and timely service delivery.
  • Collaborate with internal stakeholders and external vendors to proactively identify risks, resolve operational challenges, and maintain service standards.
  • Support the implementation, optimization, and adoption of operational systems and technology platforms, including payroll, compliance, and timekeeping solutions.
  • Develop and maintain operational procedures, documentation, controls, and reporting metrics to support business growth and compliance requirements.
  • Produce operational and payroll reporting for senior management, providing insights, trends, and recommendations to support decision-making.
  • Support strategic business initiatives, process transformations, and special projects as required.
  • Foster a culture of accountability, collaboration, and continuous improvement.
  • Oversee day-to-day office operations, facilities coordination, and administrative functions for the Boston office.

About You

  • A bachelor’s degree in Business Administration, Finance, Accounting, Human Resources, or a related field is preferred.
  • Significant experience in payroll, operations, finance, or workforce management, ideally within the staffing, recruitment, or professional services sector.
  • Demonstrated experience leading operational processes and managing cross-functional stakeholders.
  • Strong knowledge of Federal and Local payroll regulations, compliance requirements, and contractor workforce administration.
  • Experience with ADP and payroll systems required; experience with Bullhorn, Sage, RSM InTime, or similar platforms is highly desirable.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel and reporting tools.
  • Proven ability to identify operational inefficiencies and successfully implement process improvements.
  • Strong analytical, problem-solving, and decision-making capabilities.
  • Excellent communication and stakeholder management skills, with the ability to influence at all levels of the organization.
  • Highly organized with exceptional attention to detail and the ability to manage competing priorities.
  • Comfortable working in a fast-paced, high-growth environment with changing business needs.
  • Demonstrated leadership capability, including mentoring, coaching, or managing team members.
  • Fluent in English; additional languages are advantageous.
