Position Overview

The Human Resources Generalist will support the Human Resources department during a transition from paper employee records to a fully electronic Human Resources Information System (HRIS). This role is ideal for an experienced HR professional with strong knowledge of HR operations, data management, compliance, and HR systems.

Reporting to the Director of Human Resources, the HR Generalist will work closely with HR leadership and cross-functional teams to ensure the accurate, compliant, and efficient conversion of employee records. The role requires strong attention to detail, a commitment to confidentiality, and the ability to manage multiple priorities in a fast-paced environment.

Primary Responsibilities

· Lead and support the conversion of employee personnel files from paper to electronic format.

· Audit, upload, and maintain employee records to ensure accuracy, consistency, and compliance.

· Ensure electronic records meet all federal, state, and organizational record-keeping requirements.

· Review and validate employee data, identifying and resolving discrepancies during file conversion and system updates.

· Develop and document standardized procedures for electronic file management and record retention.

· Collaborate with HR leadership to organize, reconcile, and maintain legacy employee records.

· Maintain strict confidentiality and security of sensitive employee information.

· Provide HRIS system support and troubleshoot issues related to employee records.

· Assist with HR operational activities to ensure a seamless transition of records and minimal disruption to HR services.

· Partner with the HR Director on HR systems, compliance initiatives, and process improvements.

· Perform other duties as assigned to support the Human Resources department and organizational needs.

Qualifications and Skills

· Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience.

· Minimum of 3 years of Human Resources experience, preferably in an HR Generalist role.

· Hands-on experience working with HRIS platforms (Paylocity preferred).

· Experience managing or converting electronic personnel records or supporting data migration projects.

· Strong understanding of HR compliance requirements and employee record retention regulations.

· Exceptional attention to detail and commitment to maintaining data accuracy.

· Ability to handle confidential and sensitive information with discretion and professionalism.

· Strong organizational, prioritization, and time-management skills.

· Ability to work independently and manage multiple priorities in a deadline-driven environment.

· Excellent communication skills and ability to collaborate effectively across departments.

· Experience supporting HRIS implementation.

· Knowledge of document management systems and records retention best practices.

· Familiarity with employment compliance documentation including I-9, EEO, and FLSA requirements.

· Demonstrated ability to identify process improvements and support system enhancements.
