Job Description

The Vendor Management Operations Specialist

will support the end-to-end operational

management of key vendor engagements ensuring accurate contract and purchase requests

coverage, timely financial processing, and adherence to governance standards.

Key Responsibilities

Operational; Financial Execution

  • Create and submit Purchase Requests (PRs); monitor approvals and ensure on-time

processing.

  • Track engagements to verify valid Statements of Work (SOWs) and PR coverage across all

resources.

  • Review and approve invoices for completeness, accuracy, and contract alignment; drive

issue resolution and escalations to ensure continuity of services.

  • Maintain current and accurate documentation across governance repositories, directories,

and SharePoint.

Data Integrity; Reporting

  • Maintain accurate vendor, SOW, PR, PO, and headcount data across systems and trackers.
  • Produce operational dashboards and reports (PR cycle times, SOW expiry risk, invoice

status, coverage gaps).

  • Ensure data consistency and audit-readiness across governance tools and repositories.

Process Coordination Continuous Improvement

  • Partner with Finance, Procurement, and Engineering to resolve bottlenecks and remove

blockers

  • Support annual and quarterly operational cycles (e.g., workers renewals, vendor feedback

survey).

Minimum Qualifications (Education)

  • Bachelor’s degree required in Business Administration, Industrial Engineering and

Management, or Finance/Accounting

  • Preferred: Master’s degree in business, supply chain, or related discipline.
  • Excellent English proficiency (minimum B2)

Required Experience

  • 3\+ years in vendor operations, procurement operations, contract administration,

AP/invoicing, project coordination, or similar operations-focused role.

  • Demonstrated experience with contracts/purchase request workflows and cross-

functional coordination.

  • Experience in E2E Sourcing/Procurement Platforms (SAP Ariba) and contingent

workforce systems (SAP Fieldglass)

  • Background in contractor-heavy environments.
  • Preferred experience in building dashboards using data reporting tools (PowerBI)

Knowledge, Skills, Competencies

  • Microsoft 365 and SharePoint proficiency
  • Strong operational discipline and attention to detail.
  • Advanced analytic skills, to carry out analyses and evaluations independently and deriving

insights

  • Clear written and verbal communication.
  • Problem-solving orientation and ability to own issues end-to-end.
  • Ability to work in fast-paced and international environment.
