Position Summary
The Practice Dental Coordinator is responsible for overseeing the daily administrative and operational functions of the dental practice. This role ensures efficient patient flow, excellent customer service, regulatory compliance, and coordination between clinical and front office teams. The coordinator serves as a key point of contact for patients, staff, and external partners while supporting overall practice performance, patient satisfaction, and revenue cycle processes.
Responsibilities and Duties
Practice Operations \& Patient Flow
- Oversee daily front office operations including scheduling, patient check-in/check-out, and call management
- Ensure efficient appointment utilization, minimizing gaps and optimizing provider schedules
- Monitor patient flow and collaborate with clinical staff to reduce wait times
- Maintain accurate patient records in the electronic medical record (EMR) system
- Coordinate same-day appointments, emergency visits, and referrals
Revenue Cycle \& Administrative Oversight
- Support insurance verification, prior authorizations, and eligibility processes
- Assist with charge entry, claim tracking, and resolution of billing issues in collaboration with the billing team
- Monitor no-show and cancellation trends; implement improvement strategies
- Ensure accurate documentation to support Good Faith Estimates (GFE) and Sliding Fee Scale (SFS
)

Patient Experience \& Communication
- Promote a high level of customer service and patient satisfaction
- Address patient concerns, complaints, and service recovery in a timely and professional manner
- Educate patients on treatment plans, financial responsibilities, and available resources
- Maintain professional communication with referral partners and specialty providers
Team Coordination \& Leadership Support
- Provide day-to-day guidance to front office staff and support team collaboration
- Assist with staff scheduling, training, and onboarding support
- Reinforce office policies, workflows, and customer service standards
- Serve as liaison between dental providers, administrative staff, and leadership
Compliance \& Quality Assurance
- Ensure adherence to OSHA, CDC, and ADA guidelines in coordination with clinical leadership
- Support implementation of infection control protocols and safety procedures
- Participate in performance improvement (PI) initiatives and quality assurance activities
- Maintain confidentiality and compliance with HIPAA regulations
Inventory \& Resource Management
- Monitor and coordinate ordering of dental and office supplies
- Maintain appropriate inventory levels to support uninterrupted operations
- Assist in vendor coordination and supply cost management
Community Outreach \& Support
- Support community outreach initiatives, dental education events, and health fairs as needed
- Promote oral health awareness in alignment with organizational mission
Additional Responsibilities
- Support clinical team as needed within scope (non-clinical focus primary)
- Perform other duties as assigned to support practice operations
Qualifications
Knowledge, Skills, and Abilities
- Strong knowledge of dental office workflows and patient coordination processes
- Familiarity with EMR/EHR systems and dental practice management software
- Understanding of insurance, scheduling optimization, and patient flow management
- Excellent communication, problem-solving, and organizational skills
- Ability to work effectively with diverse patient populations
- Strong attention to detail and ability to multitask in a fast-paced environment
Education
- Associate’s Degree preferred OR
- Certification in Dental Assisting or Healthcare Administration from an accredited program
Experience
- Minimum 1-3 years of dental office or healthcare practice experience
- Experience in front office operations, scheduling, and patient coordination required
- Prior leadership or coordinator experience preferred
Physical Demands
