Job Description
Our client is an LPL-affiliated wealth management practice in Pittsburgh. The team includes two advisors, a planning analyst, and administrative staff, and is growing to the point where operations need a dedicated owner. The Opportunity Our client is hiring an Operations Manager to run the practice day-to-day. This frees the Lead Advisor to focus on advising clients, growing the business, and making high-level decisions.
This isn't an office-manager role. You'll own the entire client-service workflow: scheduling, meeting prep, task assignment, follow-through. You're comfortable holding the team accountable, including leadership.
Key Responsibilities:
- Manage the advisors' calendars, targeting roughly 10 client meetings per advisor per week.
- Get meeting-prep assignments and deadlines to the planning team early enough to produce quality work. Confirm statements, forms, and outside-account information are collected before meetings.
- Monitor LPL notifications for funded accounts, money movement, and deposits. Route them for timely action.
- Review meeting notes and AI-generated summaries after every meeting. Convert them into clearly assigned tasks with owners and deadlines.
- Delegate and track work across the team. Follow up about a week later to confirm it actually got done.
- Keep clients updated when paperwork, transfers, or service requests are pending.
- Oversee new-account opening, transfers, money movement, beneficiary changes, and other LPL operational processes. Serve as the firm's primary internal contact for LPL issues.
- Triage routine client email requests.
- Identify recurring bottlenecks and fix the process, not just the symptom.
- Run a short weekly operations meeting.
- Build, document, and maintain written procedures.
- Coordinate vendors, technology, office logistics, and client events.
- Turn leadership's ideas into organized projects with owners, deadlines, and follow-through.

Experience \& Qualifications
- 3\+ years of experience in wealth management operations.
- LPL platform experience is a strong plus, particularly in the Pittsburgh market.
- Series 7 and/or Series 66 licensing is helpful but not required.
