We are looking for a motivated, detail-oriented, and versatile team player to join us as an Operations Coordinator and play a key role in both our logistics operations and sales support functions.

Position Overview

This is a hybrid, multi-functional role that sits at the intersection of logistics, operations, and sales support. The Operations Coordinator will be responsible for booking and managing domestic and international shipments, coordinating with customers, overseas suppliers, and freight brokers, and assisting the sales team with product inquiries and reporting needs. A key responsibility of this role is the creation of monthly sales reports used to calculate rep group commission payments. This position reports directly to the VP of Operations and is integral to both the smooth flow of our global supply chain and the effectiveness of our sales operations.

Key Responsibilities

  • Book, manage, and track domestic and international shipments from origin to delivery
  • Serve as a point of contact for domestic and overseas customers and suppliers regarding shipment status, documentation, and logistics inquiries
  • Coordinate with freight brokers, freight forwarders, and domestic carriers (UPS, FedEx, LTL) to ensure timely and cost-effective shipping solutions
  • Prepare, review, and manage international shipping documentation including commercial invoices, packing lists, bills of lading, and export/import compliance documents
  • Ensure compliance with customs regulations, HTS code classification, and export documentation requirements
  • Assist the sales team with product inquiries, including pricing, availability, and order details, to support a seamless customer experience
  • Build and deliver monthly sales reports used to calculate rep group commission payments, ensuring accuracy and timely distribution
  • Maintain and update shipment records and operational data within NetSuite and Excel
  • Monitor shipment timelines and proactively communicate delays or issues to relevant stakeholders
  • Identify and recommend process improvements to streamline logistics and operations workflows
  • Collaborate cross-functionally with sales, purchasing, and warehouse teams to support order fulfillment goals

Qualifications

Required

  • Minimum 3 years of experience in business, logistics, or supply chain operations
  • Hands-on experience with both domestic and international logistics, including freight forwarding and customs compliance
  • Intermediate to advanced proficiency in Microsoft Excel (pivot tables, VLOOKUPs, data analysis, etc.)
  • Experience with NetSuite or a comparable ERP system
  • Familiarity with HTS codes, export documentation, and international trade compliance
  • Experience working with freight brokers and domestic carriers (UPS, FedEx, LTL freight)
  • Strong organizational skills with the ability to manage multiple shipments and priorities simultaneously
  • Excellent written and verbal communication skills; English must be the primary working language
  • Ability to work on-site at our Phoenix, Arizona office five days per week

Preferred

  • Bachelor's degree in Business, Supply Chain, Logistics, or a related field
  • Experience in the food service, hospitality, or consumer goods industry
  • Spanish language proficiency (bilingual or conversational)
