Job Overview
The Admissions Coordinator serves as the first point of contact for prospective clients, families, and referral sources. This role is responsible for managing inbound and outbound communications, conducting initial screenings, verifying insurance benefits, and coordinating all aspects of the admissions process.
This is a fast-paced, performance-driven position that requires strong communication skills, attention to detail, and the ability to guide individuals through critical, often emotional decisions. The ideal candidate is both compassionate and results-oriented, with a focus on converting qualified leads into admissions while ensuring an exceptional client experience.
Responsibilities
- Manage high-volume inbound and outbound calls, texts, and web inquiries
- Conduct initial pre-screenings to assess clinical and program fit
- Verify insurance benefits and clearly explain coverage and financial responsibilities
- Guide clients and families through the admissions process from first call to arrival
- Coordinate logistics for admissions, including scheduling and intake preparation
- Accurately document all interactions in CRM/EMR systems
- Collaborate with clinical and leadership teams to determine appropriate level of care
- Build and maintain relationships with referral sources and partners
- Meet or exceed admissions goals, call metrics, and conversion targets
- Provide empathetic, professional support to individuals in crisis or distress
- Stay informed on mental health trends and treatment modalities
Qualifications
- 1–3 years of experience in behavioral health admissions, intake, healthcare, or call center/sales environment
- Strong understanding of insurance verification and benefits (preferred)
- Excellent communication, rapport-building, and closing skills
- Ability to multitask and thrive in a fast-paced, goal-driven environment
- Experience with CRM systems and EMRs (Salesforce experience a plus)
- Strong organizational and documentation skills
Preferred Experience
- Background in mental health or residential treatment settings
- Knowledge of levels of care (Residential, PHP, IOP, OP)
- Proven track record in sales, admissions, or conversion-based roles
Schedule \& Work Environment
- Remote position
- Monday – Friday, 12:00 PM – 8:00 PM EST

Compensation \& Benefits
- Competitive salary: $50,000 – $100,000\+ annually (based on experience \& performance)
