Receptionist Position - M\&A Law Firm
Location:
Chicago, IL (Near Daley Center)
Schedule:
Full-time, Monday through Friday, 8:30 AM - 5:00 PM (on-site)
Salary:
Starting at $34,000, commensurate with experience

Position Overview
We are seeking a professional and detail-oriented Receptionist to serve as the first point of contact for our clients, visitors, and vendors at our new Chicago office. This position plays a vital role in maintaining our firm's reputation for professionalism and client service excellence, while also keeping the office organized and well-stocked. The ideal candidate will handle administrative duties while maintaining the confidentiality required in a legal environment.
Training will be on-site at our Schaumburg location, preferably the week of August 17th. On-site in Chicago to begin the following week.
Primary Responsibilities
Client and Visitor Services:
- Greet clients, visitors, and vendors in a professional and welcoming manner
- Direct clients to appropriate meeting rooms and notify attorneys of arrivals
- Provide general information about the firm and services when appropriate
Phone and Communication Management:
- Answer and screen incoming phone calls from potential clients professionally
- Take detailed messages and route calls from current clients and legal professionals to appropriate attorneys and staff
- Handle initial client inquiries with tact and professionalism
Scheduling and Administrative Support:
- Schedule and confirm client appointments and meetings
- Coordinate conference room bookings and setup
- Send appointment reminders and handle rescheduling requests
Mail and Package Handling:
- Receive, sort, and distribute mail, packages, and deliveries
- Handle outgoing mail and coordinate courier services
Office Organization and Supply Management:
- Keep reception area and common areas clean, organized, and professional
- Track inventory of office supplies, snacks, and beverages
- Coordinate with vendors for supply orders and deliveries
- Maintain professional appearance of all client-facing areas
Confidentiality and Legal Support:
- Maintain strict confidentiality regarding all client information and legal matters
- Handle sensitive documents and information according to firm policies
- Assist with basic document preparation and filing when needed
- Support attorneys and paralegal staff with various administrative tasks as assigned
Technology and Systems:
- Maintain client database and contact information
- Learn and utilize firm-specific software and case management systems
Qualifications
Required:
- High school diploma or equivalent
- Previous receptionist or customer service experience preferred
- Strong communication and interpersonal skills
- Professional demeanor and appearance
- Ability to handle multiple tasks simultaneously while maintaining attention to detail
- Basic computer skills, including Microsoft Office Suite
- Excellent phone etiquette and verbal communication abilities
- Ability to maintain confidentiality and exercise discretion
- Strong organizational skills
Preferred:
- Previous experience in a legal environment
- Familiarity with legal terminology and procedures
- Associate degree or relevant coursework
- Paralegal Studies students encouraged to apply
