Job Description
The Museum Storage \& Logistics Specialist is responsible for the safe handling, storage, transportation, and logistical coordination of artworks and museum assets. This role ensures that all collection objects are managed according to international museum standards, preserving their condition while enabling efficient movement for exhibitions, loans, and storage optimization.
Key Responsibilities
1\. Collections Storage Management
- Oversee and maintain museum storage areas, ensuring optimal environmental and security conditions (temperature, humidity, lighting, pest control).
- Implement and maintain best practices in art storage, including proper packing, shelving, and space utilization.
- Monitor storage capacity and propose improvements for storage systems and workflows.
- Ensure compliance with international museum standards (e.g., object handling, conservation-safe materials).
2\. Artwork Handling \& Movement
- Safely handle, pack, crate, and move artworks of various media (paintings, sculptures, multimedia, installations).
- Coordinate internal movement of artworks between storage, galleries, conservation labs, and external locations.
- Supervise art handlers, technicians, and contractors during installation and deinstallation.
3\. Logistics \& Transportation
- Plan and coordinate domestic and international shipments of artworks.
- Liaise with fine art shipping companies, customs brokers, and insurance providers.
- Prepare and review shipping documentation (condition reports, packing lists, loan forms, customs paperwork).
- Ensure compliance with import/export regulations and loan agreements.
4\. Inventory \& Documentation
- Maintain accurate inventory records using the museum’s collections management system.
- Track object locations, movements, and storage conditions.
- Support regular inventory audits and reconciliation processes.
- Assist in cataloguing and documentation of new acquisitions and loans.
5\. Exhibition Support
- Collaborate with curators, registrars, and exhibition teams to support installation schedules.
- Ensure timely delivery and readiness of artworks for exhibitions.
- Assist in mount-making coordination and display logistics.
6\. Risk Management \& Compliance
- Identify risks related to handling, storage, and transport of artworks and implement mitigation measures.
- Ensure adherence to health \& safety regulations and museum policies.
- Support emergency preparedness planning (e.g., evacuation of collections, disaster recovery).
7\. Vendor \& Stakeholder Coordination
- Manage relationships with logistics providers, art handlers, and storage vendors.
- Coordinate with internal departments including conservation, curatorial, security, and facilities.
- Support contract management and performance monitoring of external service providers.
Qualifications \& Experience
- Bachelor’s degree in Museum Studies, Art History, Logistics, or related field.
- 3–6 years of experience in museum storage, art handling, or fine art logistics.
- Experience working in an international museum or cultural institution preferred.
- Knowledge of museum standards (e.g., object handling, packing, and transport).
Skills \& Competencies
- Strong knowledge of art handling and packing techniques.
- Familiarity with collections management systems (e.g., TMS, MuseumPlus).
- Understanding of climate control requirements for artwork preservation.
- Excellent organizational and logistical planning skills.
- Attention to detail and accuracy in documentation.
- Strong communication and coordination skills.
- Ability to work under pressure and meet tight deadlines.
