Role Description
The Operations Manager will oversee inventory management, logistics, fulfillment, and customer service to ensure seamless day-to-day operations. They will manage e-commerce platforms, streamline workflows, support wholesale clients, and lead cross-functional teams while driving process improvements. This role requires a detail-oriented and proactive leader skilled in optimizing systems, fostering collaboration, and managing budgets to support business growth and efficiency.

- Works closely with CFO, operations associates, and store manager
- Compensation: $70,000–$80,000 base salary \+ KPI-driven performance bonus
Responsibilities
Operations — Logistics and Fulfillment
- Fulfillment:
Manage the end-to-end shipping process for wholesale, gifting, and DTC orders, ensuring timely and cost-effective delivery.
- Import:
Monitor incoming shipments to ensure all items are received accurately and in good condition.
- Order Prioritization:
Develop and manage a system to prioritize urgent orders, wholesale shipments, and VIP customer requests.
- Compliance:
Ensure all shipping and invoicing processes adhere to international customs regulations and tax requirements.
- Team Training:
Hire and train team members on new processes, tools, or operational updates.
- Data Management:
Implement and maintain a centralized system for storing and accessing operational data, such as shipping details, vendor contracts, and inventory logs.
- Event Coordination:
Help plan and execute local events, ensuring everything runs smoothly, from logistics to setup.
- Process Improvement:
Create and improve SOPs, guidelines, and workflows to make wholesale and operational tasks more efficient.
- Reporting:
Prepare sales reports, research industry trends, and analyze data to identify opportunities for growth and improvement.
Inventory
- Inventory Management:
Monitor inventory levels, report when stock is low, and restock supplies as needed. Keep accurate records to avoid running out of stock or over-ordering.
- Stock Organization:
Keep the storage areas organized, conduct regular audits, and implement systems to ensure inventory is accurate, easy to track, and manage.
- Supply Coordination:
Work with suppliers to ensure timely deliveries and resolve any issues with the supply chain.
E-Commerce
- Website Updates:
Update product listings, improve SEO, and maintain the website through Shopify.
- Website Performance:
Monitor site functionality and address any technical issues to ensure a seamless shopping experience for customers.
- Promotions:
Set up sales, discounts, and promotional campaigns on the site.
Customer Service
- Order Support:
Handle questions and issues related to orders, returns, exchanges, product defects, delays, pre-orders, fraud, or missing shipments.
- Customer Communication:
Provide clear and timely responses to customers via email, chat, phone, or social media.
- Issue Resolution:
Resolve customer concerns effectively and escalate complex cases when necessary.
- Customer Satisfaction:
Implement a system to track and improve customer satisfaction
Wholesale
- Client Relationships:
Build and maintain strong relationships with wholesale accounts to ensure their satisfaction and loyalty.
- Business Development:
Identify new opportunities, develop strategies to grow revenue, and achieve sales goals.
- Training \& Support:
Provide training and resources to wholesale clients to help them succeed and better understand the brand.
- Linesheets
: Update and maintain linesheets to accurately reflect current offerings and prices in all territories and currencies.
Operations Admin
- Administrative Support:
Handle daily administrative tasks, including data entry, filing, vendor orders, client relationships, and document organization.
- Scheduling \& Calendar Management:
Manage team schedules, book appointments, and coordinate meetings to ensure efficient workflow.
- Compliance \& Record-Keeping:
Ensure all documentation and processes comply with company policies and external regulations.
- Customer Insights:
Collect and analyze customer feedback to identify areas for improvement, sharing insights with the appropriate teams.
- Systems Optimization:
Evaluate and implement software tools to improve efficiency in customer service, inventory management, and marketing.
- Data Integration:
Integrate tools like Shopify and customer service platforms for seamless data sharing and tracking.
- Technical Support:
Troubleshoot and resolve any technical issues with platforms like Shopify, Shipstation, or social media management tools.
Sales \& Marketing
- Client Communication:
Work closely with clients to understand their needs and provide customized solutions.
- Market Research:
Stay up to date on industry trends and competitors to refine sales strategies and identify new opportunities.
- PR Pulls \& Gifting:
Handle all PR and stylist pull requests, ensuring items are sent and received on time. Coordinate gifting, including packaging and tracking deliveries.
Technology and Systems Management
- Oversee the implementation and maintenance of operational software, such as Shopify, ShipStation, and EDI platforms.
- Ensure proper integration between tools and systems to facilitate data sharing and streamline operations.
Team Leadership and Collaboration
- Lead and manage the operations team, providing training, guidance, and regular performance evaluations.
- Facilitate cross-departmental collaboration to ensure smooth workflows and alignment on goals.
- Foster a culture of accountability and continuous improvement within the team.
Financial Oversight
- Develop and manage budgets for shipping, inventory, and operational expenses.
- Track and analyze operational costs to identify areas for cost reduction.
- Ensure all invoices are audited and processed accurately and on time.
Event and Project Management
- Plan and coordinate logistics for events, ensuring smooth execution and adherence to timelines and budgets.
- Manage special projects, such as launching new product lines or scaling operational capacity for peak seasons.
