Job Description

Talon Metals Corp 165 N Warren Street Tamarack, MN 55787

Accounts Payable Specialist

Location: Combination of remote and in-office at Tamarack, MN

Reports to: Controller

Company Overview

====================

Talon Metals is a TSX-listed mining company with an operating mine and a significant exploration and development portfolio. The Company focuses on disciplined capital allocation, responsible growth, and long-term value for shareholders and stakeholders.

Role Purpose

================

The Accounts Payable Specialist administers accurate, timely, and controlled invoice processing and vendor payments for assigned Talon entities. The role manages invoice review, financial coding, approval follow-up, payment-batch preparation, vendor support, and corporate card administration. It works closely with Finance, Procurement, and project teams, providing reliable payment information to the Corporate Accountant and Treasury Analyst while maintaining clear approval boundaries.

Key Responsibilities

========================

Invoice Processing and Vendor Administration

------------------------------------------------

  • Review invoices and supporting documents for accuracy, business purpose, legal entity, payment terms, purchase order requirements, and potential duplicates.
  • Assign and validate general ledger, department, project, cost center, property, grant, and intercompany coding in coordination with Finance and budget owners.
  • Route invoices to authorized approvers, follow up on outstanding approvals, and resolve discrepancies, credits, and vendor inquiries.
  • Collect vendor setup and tax documentation; submit new vendors and changes to banking details for independent verification and approval before use.
  • Maintain organized invoices, approval records, vendor documentation, and audit trails in the accounting system.

Payment Preparation and Corporate Credit Cards

--------------------------------------------------

  • Prepare payment batches and supporting schedules for ACH, EFT, wires, checks, and other approved methods; submit them for independent review and bank release.
  • Provide upcoming payment requirements to the Corporate Accountant and Treasury Analyst, highlighting due dates, unusual amounts, and payment exceptions.
  • Issue remittance advice after approved payment release and investigate returned payments, outstanding checks, and vendor account differences.
  • Administer corporate card documentation, coding, reconciliation, and approval follow-up; escalate unsupported or unusual transactions.
  • Ensure credit card transactions are grant-eligible and follow policies.

Accounting Support and Internal Controls

============================================

Close and Reporting Support

-------------------------------

  • Reconcile the AP subledger to the general ledger and vendor statements; investigate differences and prepare schedules for independent review.
  • Identify unrecorded liabilities and support accruals, invoice cutoff, aging reports, and monthly and quarterly close activities.
  • Provide invoice and payment support for audits, quarterly reviews, grant reimbursement documentation, and applicable vendor tax reporting.
  • Maintain payment calendars and procedures, support trained backup coverage, and recommend improvements to invoice processing and documentation.

Authority and Approval Boundaries

-------------------------------------

  • Prepare and record transactions within assigned access rights; do not approve personal work or independently release payments.
  • Ensure vendor banking changes are independently verified and approved, and escalate suspicious requests, control exceptions, or attempted approval bypasses.
  • Provide AP records for cash reconciliations; independent preparation or documented review of bank reconciliations remains with another authorized Finance employee.
  • Protect sensitive vendor, banking, and tax information and promptly report suspected fraud, errors, or unauthorized system access.
  • Perform other accounting support duties consistent with the role and established segregation of duties.

Required Experience and Qualifications

==========================================

  • 2-3 years of relevant accounts payable or accounting support experience, including invoice coding, approval workflows, payment preparation, and reconciliations.
  • Practical knowledge of accounting systems, vendor administration, electronic payment processes, and internal controls.
  • Strong Microsoft Excel skills, including formulas, lookups, and reconciliation schedules.
  • High accuracy, organization, discretion, and the ability to manage recurring deadlines independently in a remote work environment.
  • Clear communication and effective working relationships with vendors, employees, approvers, and Finance colleagues.

Preferred Experience

========================

Post-secondary education in accounting or business; experience with multiple legal entities, purchase order matching, corporate cards, vendor tax reporting, and audit or grant documentation. Experience with SAP is preferred but not required.

Talon Values

================

Demonstrate Safety by maintaining a safe work environment and reporting concerns; Respect through professional, constructive relationships; Integrity through accurate records, confidentiality, and adherence to approvals; Adaptability by responding effectively to changing priorities; and Achievement through reliable execution, ownership, and continuous improvement.
