Job Overview

We are seeking a highly motivated and enthusiastic individual for a 6 month opportunity of rota and database administration across the managed and hosted GP practices.
The successful post holder will assume the role of rota administrator, co-ordinating rota’s across seven practices, booking sessions for clinical and non-clinical staff and supporting recruitment administration for sessional GPs.
Experience of Microsoft office packages is required and training can be provided in the rota management system.
Rota Management is desirable and the ability to work to deadlines, with accuracy is key.
Hours of work are between 8am to 6pm Monday to Friday, based on the needs of the service. The post will be based at Brynmawr Medical Centre, although there will be a requirement to support rota management across managed practices Brynmawr, Blaenavon, Bryntirion and Tredegar, alongside hosted practices, Gelligaer, Lliswerry and Pontypool. There maybe occasions that travel between these sites is required.
Main duties of the job
To communicate with GP’s, non-clinical staff and all other levels of staff within the organisation on a regular basis to ensure quality delivery of the Rota System. Checking their availability and utilising tact and persuasive skills when additional shift uptake as and when needed. Sometimes at very short notice to fill immediate gaps.
Ability to analyse risk to the service and service users when resources are limited and realised the implications and importance of raising any concerns to management.
Ensuring the maximum use of the available resource to deliver the quality standards for the service. To resolve problems as they arise in a responsive and professional manner and report back information to the Business Support Manager or Head of Service. Post holder is to provide rota cover between the hours of 08:00 – 18:00hrs.
The post holder will manage their own work load and work independently to defined departmental policies and procedures.
This post is fixed term for 6 months until 31st December.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
