Executive Associate
to join the
Office of the Chief AI Officer
. This is a first job, and the role will suit a recent undergraduate from any discipline and any institution, someone at the very start of their career who carries themselves with real poise, speaks and writes English beautifully, and is genuinely sharp.
Why this role exists
The Chief AI Officer's work runs across an unusually broad canvas, spanning the AI agenda at Fulcrum Digital, a personal research and product agenda, frequent writing and speaking, and a constant flow of coordination across Indian and US time zones. The Office needs someone to take full ownership of the administrative and personal rhythm of that work, so that everything runs cleanly, quietly, and on time.
It is worth being honest about the shape of the role from the outset. It is an administrative and coordination role, not a strategy role. The strategic layer of the Office is held by a Chief of Staff. The Executive Associate is the person who makes the day work, reliably and gracefully, and who never needs to be asked twice. What the role involves
- Diary and correspondence - The Executive Associate will own the Chief AI Officer's calendar and protect that time, scheduling meetings across time zones, resolving clashes before they escalate, and keeping the days ordered. They will manage the flow of email and messages, triage what matters, draft clear and courteous correspondence in the Chief AI Officer's voice, and make sure nothing slips.
- Travel and logistics - They will plan and book travel end to end, domestic and international, including flights, hotels, visas where needed, ground transport, and detailed itineraries, and will handle the small things that make travel painless.
- Meetings and follow ups - They will prepare the ground for meetings, assemble the material required, keep notes where useful, capture actions, and chase them to completion so that commitments are actually met rather than merely made.
- Documents and information - They will keep files, documents, and records in impeccable order, format and tidy material to a high standard, and handle a steady stream of confidential and sensitive information with complete discretion.
- The rhythm of the day - They will be a calm and reliable first point of contact, coordinate with internal teams and external stakeholders on the Chief AI Officer's behalf, manage expenses and reimbursements, look after personal and appointment logistics, and generally anticipate what is needed before it becomes urgent.

A recent undergraduate from any field and any institution. Where a candidate studied matters far less than whether they are able, presentable, and reliable.
Exceptional English, spoken and written, is not negotiable. The Executive Associate should be articulate, precise, and comfortable representing the Office in writing and on the phone.
