Job Description

Core responsibilities:

1\. Operational Responsibilities

  • Review and verify the accuracy of Purchase Requisitions (PR) and process Purchase Orders (PO) in accordance with established procedures
  • Coordinate with suppliers to procure goods and services
  • Conduct price and commercial comparisons to select appropriate suppliers
  • Negotiate pricing and commercial terms with suppliers, and act as a check-and-balance with internal requesting teams to validate that equipment specifications and order quantities are appropriate and justified (a core KPI for this role is measurable cost savings)
  • Monitor order status and ensure timely delivery of goods and services
  • Accurately record procurement transactions in ERP or internal systems
  • Maintain proper documentation, including PR, PO, quotations, and supporting documents

2\. Process Improvement \& System Setup

  • Support the development and enhancement of procurement processes to ensure standardization and efficiency
  • Maintain and update supplier database and Approved Vendor List
  • Assist in designing and improving approval workflows
  • Develop and maintain procurement tracking and reporting tools
  • Support the implementation of ERP systems or automation tools in procurement processes
  • Identify issues and recommend process improvements

3\. Control \& Compliance

  • Ensure completeness and accuracy of procurement documentation in line with company policies
  • Perform duties in compliance with procurement policies and regulations
  • Support risk management related to procurement, including supplier and pricing risks
  • Prepare data and documentation for internal and external audits

Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field Experience
  • Familiarity with IT hardware specifications (servers, HDDs and SSDs, RAM, GPUs, CPUs, NVRs, IP cameras, PoE switches/injectors, network switches, cabling, UPS/power backup units, camera mounts and enclosures) is a strong plus, though not required
  • Minimum 2 years of experience in procurement or purchasing
  • Strong coordination and communication skills
  • Negotiation skills
  • High attention to detail and accuracy
  • Proficiency in Microsoft Excel
  • High level of responsibility and integrity
  • Ability to work under pressure
