Summary
The Human Resources (HR) Generalist plays a vital role in managing various aspects of PPSE’s HR function. The HR Generalist is responsible for all aspects of the employee life cycle, including recruiting, onboarding, performance management, maintenance of employee records and separations. This is position is an essential key to maintaining all compliance related updates regarding employment laws and requirements.
REPONSIBILITIES
HR Policies and Compliance:
- Develop, update, and communicate HR policies, ensuring compliance with employment laws and regulations.
- Track and communicate federal, state and local law updates that impact the organization’s employment related policies and procedures to ensure compliance.
- Manage bi-weekly and off-cycle payroll processing accurately and timely to ensure compliance with payment deadlines.
- Collaborate with Finance department to create reports for audit purposes.
- Manage and maintain the onboarding process. including but not limited to collecting all pre onboarding documentation, providing all required onboarding documentation and updating new hire orientation.
- Coordinate off boarding process including documentation and final wages payment.
- Maintains employment files in accordance with federal, state, local and PPFA accreditation standards.
- Audit HR systems, databases, and documentation to ensure confidentiality and data integrity.
- Handle all employment verifications including verification requests from federal and state departments.
Benefit Administration
- Serve as the point of contact for benefits-related issues, coordinating with brokers/BRC when appropriate, and oversee 401(k) enrollment and contribution changes
- Administer employee compensation and benefits programs, including HRIS/Payroll updates such as deductions, retirement contribution changes and salary changes.
- Conduct benefit audits and reconciliations
Recruitment:
- Manage full-cycle recruiting: reviewing JD updates with Hiring manager, posting job advertisements, screening resumes, conducting interviews, and facilitating the selection and onboarding of new employees.
Performance Management:
- Serve as initial point of contact for employees and management regarding HR policies, procedures and concerns.
- Escalate grievances, conflicts and disciplinary issues in a timely matter to leadership.
- Assist management with implementing performance management processes such as corrective actions, performance improvement plans and performance reviews.
- Oversee performance review module within the HRIS
Employee Engagement and Training :
- Coordinate with managers to support the growth and skill development of employees.
- Support employee engagement initiatives, such as organizing events, recognition programs, and employee surveys.
- In partnership with Training Director, identify training needs, organize training programs, and facilitate employee development initiatives.
Other Duties and Responsibilities:
- Provides front line customer service.
- Performs other duties as may be assigned by the leadership team.
QUALIFICATIONS AND EDUCATION/EXPERIENCE REQUIREMENTS:
Education: A bachelor’s degree in human resources, Business Administration, or a related field OR equivalent work experience
Experience: At least 3 - 5 years of relevant HR work experience required
HR Knowledge: Strong understanding of HR principles, practices, and employment laws. Familiarity with recruitment strategies, performance management and benefit administration. HR certificate preferred.
Technology Proficiency: Proficiency in HRIS, payroll enterprise, applicant tracking systems, Google Workspace and Microsoft Office Suite. Paycom preferred
Communication Skills: Excellent verbal and written communication skills to effectively interact with employees at all levels, resolve conflicts, and convey HR-related information clearly and professionally.
Problem-Solving: Ability to analyze HR issues, identify root causes, and provide practical solutions. Strong critical thinking and decision-making skills are essential in handling employee-related matters.
Organizational Skills: Exceptional organizational and time management skills to handle multiple tasks simultaneously, prioritize work, and meet deadlines.
Interpersonal Skills: Strong interpersonal skills to build relationships with employees, managers, and external stakeholders. The ability to work collaboratively in a team environment is crucial.
Confidentiality: Discretion and the ability to handle sensitive employee information with strict confidentiality. Must maintain a high level of professionalism and ethical conduct. Trustworthiness, integrity, and discretion are crucial attributes in this role.
Continuous learning: The field of HR is constantly evolving, with new laws, regulations, and best practices emerging. Should have a willingness to stay updated on industry trends and pursue professional development opportunities through certifications, workshops, or conferences.
