Calling All Organized Problem-Solvers (and Healthy Food Lovers!)

Wholesome Yum, an influencer-led healthy recipe website, meal planning app, and food brand, is seeking an organized, proactive Marketing Operations Coordinator to support the day-to-day execution of our marketing, content, and ecommerce operations while owning customer support.

This is a hands-on role for someone who genuinely enjoys helping people, solving problems, keeping things organized, and making sure nothing falls through the cracks. You'll be the primary point of contact for our customers, owning questions and issues through resolution while identifying patterns and feedback that can help us improve.

You'll support our small team with recurring marketing, content, social media, ecommerce, data entry, and administrative tasks. The ideal candidate is equally comfortable writing a warm customer email, responding to social media comments in our established brand voice, working in WordPress, updating a tracking spreadsheet, formatting marketing emails, and learning a new tool or process.

Because we're a small team, this role requires someone who can work independently, recognize when something doesn't look right, and either investigate it or flag it to the appropriate person rather than waiting to be asked.

About the Position

This role is split between marketing operations and customer support, with responsibilities spanning several areas of our small business.

Approximately 50–60%: Marketing Operations \& Execution

Approximately 40–50%: Customer Support

The exact mix may vary depending on customer volume, campaigns, launches, publishing schedules, and company priorities.

This role reports to the Operations Leader and works closely with team members across editorial, marketing, and food product ecommerce.

KEY RESPONSIBILITIES

  • Content \& WordPress Support: Support recipe publishing and content operations in WordPress, including entering recipes, inserting and formatting images, setting category options, completing post-publishing tasks, and adding, replacing, or updating existing recipe video information.
  • Customer Service \& Inbox Ownership: Own our customer service inbox from initial inquiry through resolution, providing timely, accurate, friendly, and brand-aligned responses. Keep the inbox organized, prioritize appropriately, and ensure outstanding issues receive the necessary follow-up.
  • Customer Issue Investigation \& Resolution: Investigate customer concerns rather than simply responding to the immediate question. Troubleshoot account, order, product, fulfillment, and other issues; determine appropriate resolutions within established guidelines; and escalate unusual or higher-risk situations when needed.
  • Fulfillment \& Order Support: Coordinate with our fulfillment partners regarding damaged, missing, delayed, returned, or replacement orders and maintain accurate tracking to ensure issues are completed through resolution.
  • Amazon Customer \& Review Support: Monitor Amazon customer messages and reviews, respond or provide resolutions where appropriate, and identify reviews or issues requiring reporting or escalation.
  • Wholesome Yum Foods Product Reviews: Review, approve, and respond to customer product reviews on the Wholesome Yum Foods website using established guidelines.
  • Customer Feedback \& Issue Awareness: Identify recurring questions, complaints, campaign feedback, fulfillment problems, or other patterns in customer communication. Maintain tracking and proactively surface meaningful trends or issues to the appropriate team.
  • Marketing \& Email Support: Assist with email production in Kit, including formatting copy, adding links and UTM codes, resizing and inserting images, adding alt text, and completing other campaign-production tasks.
  • Social Media \& Community Support: Work with the Social Media Manager to monitor and engage with our blog and social media communities, including reviewing comments and inbox messages, responding in the appropriate brand voice, and escalating questions or issues that require additional input.
  • Pinterest Support: Complete recurring Pinterest marketing tasks using established processes and data from Pinterest Analytics, Pinterest Trends, and Google Analytics, including publishing and repinning content based on performance, trends, and board activity.
  • Promotions \& Giveaways: Assist with giveaways, promotions, and other community initiatives, including tracking entries, coordinating winners, and supporting fulfillment.
  • Ecommerce Marketing Support: Support recurring ecommerce marketing activities for Wholesome Yum Foods, including website promotions and deals, discount and coupon setup, and other website updates.
  • Creator \& Partnership Support: Assist with recurring creator and partnership programs, including Amazon Creator Connections outreach and coordination, video review initiatives, and other established marketing programs.
  • Recipe \& Meal Planning Support: Complete recurring recipe and meal-planning tasks, including scheduling recipes for Facebook and assisting with meal plan selection and activation.
  • Administrative \& Data Support: Complete recurring data-entry and administrative tasks accurately and efficiently while keeping records, spreadsheets, and tracking systems organized and current.
  • Documentation \& Process Support: Follow established SOPs and workflows; maintain and update customer service documentation and FAQs to keep information accurate and useful; identify missing or outdated information that should be documented; and create new SOPs, reference guides, or other process documentation when directed.
  • Cross-Functional Support: Assist with additional marketing, content, ecommerce, operations, or administrative projects based on company priorities and workload.

QUALIFICATIONS AND CRITERIA

Required:

  • Relevant Experience: 3\+ years of experience in marketing, operations, ecommerce, customer service, communications, or a related field.
  • Excellent Written Communication: Strong grammar and the ability to adapt your writing style to the situation. You can communicate warmly and conversationally with customers and write in an established brand voice for public-facing content.
  • Problem-Solving \& Judgment: Comfortable investigating unfamiliar problems, gathering the available information, and determining the next logical step. You know when you can resolve something independently and when an issue needs to be escalated.
  • Exceptional Attention to Detail: Highly accurate when managing customer information, spreadsheets, tracking systems, and recurring workflows. You notice when something looks wrong and address it.
  • Follow-Through \& Ownership: You take ownership of responsibilities through completion, including tracking items that are waiting on others and following up when needed.
  • Organization \& Time Management: Able to manage incoming customer requests alongside recurring responsibilities, deadlines, and additional projects without losing track of priorities.
  • Proactive Communication: Communicates clearly and proactively in a remote environment, provides updates without being repeatedly asked, and flags blockers, unusual situations, or potential problems promptly.
  • Process Consistency: Comfortable with repetitive, process-driven work and able to maintain accuracy and focus even when tasks are routine. You can follow detailed SOPs and established processes consistently while recognizing when a situation doesn't fit the standard process.
  • Google Workspace \& Spreadsheet Skills: Comfortable working in Google Workspace, particularly Google Sheets, and able to accurately organize, enter, review, and maintain data.
  • Tech Savvy: Comfortable learning and navigating multiple digital platforms and troubleshooting basic software or workflow issues independently.
  • Remote Readiness: Organized and able to self-manage workload; available to consistently meet Monday-Friday 10 AM-3 PM CT core hours with reliable hardware and high-speed internet.
  • Interest in Our Brand \& Content: Passionate about home cooking, recipe content, healthy eating without refined sugar, and/or familiar with Wholesome Yum.

Nice to Have:

  • Experience with email marketing platforms, such as Kit, MailChimp, or Klaviyo, and basic email production.
  • Experience monitoring or responding to social media communities (Facebook, Instagram, YouTube, TikTok, Pinterest).
  • Basic Canva design, creation, or image-editing skills.
  • Familiarity with website content management or ecommerce platforms, such as WordPress, WooCommerce, Amazon Seller Central, or Shopify.
  • Familiarity with digital marketing platforms or tools, such as Pinterest Analytics, Google Analytics, or creator/influencer marketing programs.
  • Experience using AI tools, such as ChatGPT or Claude, appropriately to support administrative or marketing workflows.
  • Experience with project management systems, such as ClickUp, Asana, or Trello.
  • Experience with Airtable.

HOURS

  • Full-time: 40 hrs/week
  • Core hours: Monday-Friday, 10 AM-3 PM Central Time; remaining hours are flexible.
