Job Description
The French-American Chamber of Commerce of Florida (FACC Florida) is a nonprofit organization fostering business relationships and cultural exchange between France and the United States. We organize 35\+ events per year — from intimate networking cocktails to large-scale flagship events like the French-American Business Awards (FABA) and French Weeks — and serve a dynamic network of French and American businesses across Florida.
We are looking for a driven, organized, and creative Event \& Communications Coordinator to own the full cycle of FACC Florida's events, manage sponsor relationships, lead our communications, and help grow the organization's visibility and impact.
ROLE SUMMARY
The Event \& Communications Coordinator is the operational and creative engine behind FACC Florida's public presence. You will plan and execute all events, manage sponsor and vendor relationships, oversee communications and social media, and supervise intern(s) supporting the events team. You will work closely with the CEO and the Business Development team to ensure events deliver on financial and community-building objectives.
KEY RESPONSIBILITIES
Event Planning \& Execution
- Own the full event lifecycle: concept, planning, logistics, on-site execution, and post-event follow-up
- Research and negotiate venues, catering, A/V, and all event-related services — with a focus on local partners
- Book and confirm all venues for flagship events (French Weeks, Gala, FABA) a minimum of 4 months in advance
- Coordinate attendee registration, check-in logistics, badges, and printed materials
- Manage on-site event execution: setup, troubleshooting, vendor coordination, and attendee experience
- Capture photos and short videos at events for social media and post-event communications
- Produce post-event reports including attendance, financial summary, and satisfaction data
Sponsorship \& Partner Management
- Develop sponsorship packages and proposals to attract new partners and retain existing ones
- Prospect and recruit new F\&B sponsors
- Manage all sponsor deliverables: visibility, logo placement, communications, on-site presence
- Maintain strong relationships with sponsors, vendors, and institutional partners
- Track and report sponsorship revenue against targets
Budget Management \& Reporting
- Develop and manage event budgets
- Track event revenues and expenses; prepare P\&L statements per event
- Report regularly to the CEO on event financial performance vs. forecast
- Collaborate with the Business Development team on coworking and membership cross-promotion opportunities at events
Communications \& Social Media
- Create engaging marketing and communication tools: invitations, flyers, newsletters, press releases, and event recaps
- Develop and execute FACC Florida's social media strategy across LinkedIn, Instagram, Facebook, and YouTube
- Produce and publish content consistently: posts, stories, reels, graphics, and short videos
- Monitor community interactions, respond to comments and messages, and foster a positive online presence
- Track social media performance metrics and refine strategy to grow engagement and reach
- Maintain website event pages and coordinate updates with the Digital Coordinator
Intern \& Volunteer Supervision
- Supervise and coordinate event intern(s) and/or volunteers supporting the events team
- Assign tasks, review deliverables, and provide day-to-day guidance to interns
- Develop and implement a volunteer program to support FACC Florida events and initiatives
- Recruit, onboard, and coordinate volunteers, ensuring alignment with FACC Florida's values
Documentation \& Compliance
- Maintain detailed event plans: schedules, budgets, vendor contacts, and sponsor agreements
- Ensure all vendor contracts and sponsor commitments are tracked and respected
- Generate post-event reports summarizing key metrics and outcomes for internal stakeholders
- Support the CEO on board reporting related to events and communications performance
PERFORMANCE \& BONUS FRAMEWORK
This role includes a performance bonus tied to individual and team KPIs, reviewed annually
PROFILE \& REQUIREMENTS
- Minimum 2–3 years of experience in event planning, project coordination, or communications
- Bilingual English–French (written and spoken) — required
- Proven ability to manage multiple events simultaneously with attention to detail and deadlines
- Experience with sponsorship management and vendor negotiation
- Proficiency in Canva, Google Workspace, and social media management tools
- Comfortable with event P\&L tracking and budget management
- Strong written communication skills — able to produce polished newsletters, press releases, and social content in both languages
- Energetic, proactive, and comfortable in a fast-paced small-team environment
- Experience managing or supervising interns or volunteers is a plus
- Interest in French-American business, international trade, and nonprofit environments
