Job Description AECOM is currently seeking to hire an Assistant Contract Support Specialist to join our team and provide essential support for multiple transportation and infrastructure projects in the Fort Myers, FL area. In this role, the selected candidate will assist with a wide range of contract administration and project documentation tasks, including reviewing contractor submittals, preparing and maintaining project records, and monitoring compliance with FDOT standards.
Responsibilities include but are not limited to:
- Coordinates with Project Managers and IT/Records Management on the proper methods of protection for project records and makes recommendations on media, rotation, procedures, and archival standards
- Understands project needs and determines proper resources and tools required for successful project execution
- Evaluates external tools, resources, and software platforms to enhance contract administration efficiency
- Prepares statistical reports on usage, efficiency, and performance metrics for project documentation and contract management
- Proactively identifies opportunities for improvement, cost savings, and process optimization across multiple projects
- Analyzes and selects appropriate information services and management systems to support contract administration
- Maintains and organizes contract documents, submittals, and project correspondence in accordance with company standards and client requirements
- Assists in tracking contractor compliance with contract terms, specifications, and FDOT regulatory requirements
- Supports the preparation and processing of change orders, contract modifications, and supplemental agreements
- Answers correspondence on special reference subjects and provides administrative support to project teams
- Selects and orders new resource materials, office supplies, and documentation systems as needed
- Attends project meetings and prepares meeting minutes, action item summaries, and distribution documentation
- Performs data entry and database management tasks to maintain accurate project records and contract information
- May be designated according to specialized functions within contract administration or project support
- Under direct supervision, interacts with professional and technical staff, contractors, and clients to accomplish assigned objectives
- Receives guidance on new aspects of assignments and participates in professional development opportunities
Qualifications Minimum Requirements:
- BS Degree plus none, or AS Degree plus 2 years of related experience, or High School Diploma plus 4 years of related experience
- US Citizenship is required due to the projects associated with this position
- Valid US Driver’s License required to visit project sites, clients, and other AECOM offices. As a condition of employment, selected candidate must pass a Motor Vehicle Records review
Preferred Qualifications:
- CTQP Final Estimates Level I
- Understand which surfaces are needed from the designer
- Understand the survey data from the field
- Prepare the survey data as needed for use in the software
- Generate accurate earthwork quantities from the software
