About the Role

The People Operations Specialist (Payroll \& Benefits) will lead payroll coordination and benefits administration while supporting HR operations and compliance across the U.S., Canada, and global contractors. This role is critical for ensuring accurate, timely payroll processing and smooth benefits management. It also focuses on improving HR systems, resolving operational challenges, and supporting a distributed workforce. The position requires close collaboration with Finance, Operations, and external vendors to maintain efficient HR and payroll functions.

Responsibilities

  • Coordinate payroll and contractor payments across multiple vendors
  • Audit payroll data each cycle in partnership with Finance
  • Ensure compliance with multi-state payroll regulations and international contractor payments
  • Manage payroll correspondence and resolve payroll discrepancies
  • Reconcile payroll reports, benefits deductions, and tax reporting with Finance
  • Administer U.S. and Canadian benefits programs and manage enrollments, changes, and terminations
  • Serve as primary contact for employee benefits and payroll inquiries
  • Track time-off policies, balances, and leaves of absence
  • Lead annual benefits renewals and vendor coordination
  • Maintain accurate employee data across HR and payroll systems
  • Generate offer letters and onboarding materials with Talent Acquisition
  • Coordinate payroll and benefits setup for new hires and offboarding employees
  • Conduct new hire onboarding sessions covering payroll, benefits, and HR systems
  • Maintain compliance documentation and support Employee Handbook updates
  • Manage vendor relationships for payroll, benefits, and HR systems
  • Optimize payroll workflows and support system administration
  • Identify opportunities for process improvements and automation
  • Create and maintain payroll, benefits, and HR operations documentation
  • Support internal reporting, audits, and compliance reviews

Requirements

  • 3\+ years experience in payroll, benefits administration, or HR operations in a multi-state U.S. environment
  • Hands-on experience administering Rippling payroll workflows and employee data
  • Familiarity with Canadian payroll preferred but not required
  • Experience coordinating payroll with vendors and auditing data
  • Strong knowledge of U.S. payroll regulations and benefits administration
  • Experience as a primary contact for payroll or benefits inquiries
  • Experience supporting HR compliance such as policy acknowledgments and audits
  • Detail-oriented with strong analytical and problem-solving skills
  • Ability to manage sensitive employee data accurately and discreetly
  • Strong organizational skills managing multiple systems and workflows
  • Collaborative and able to work cross-functionally with Finance, HR, and Operations
  • Proven vendor negotiation and management skills
  • Experience working in a remote or distributed environment
