Job Description

The Corporate Facilities Specialist provides administrative, operational, and project management expertise to the Director, Corporate Facilities and Purchasing and Facilities leadership teams. This position manages facility operations, purchasing, vendor and contract administration, budgeting, reporting, and project coordination across multiple company locations. The Corporate Facilities Specialist serves as a liaison between departments, field locations, vendors, and leadership to drive efficient, compliant, and cost-effective operations through effective coordination, analysis, and execution of departmental initiatives.

Responsibilities

  • Manage department leadership priorities related to daily operations, communications, scheduling, and special projects.
  • Serve as a liaison between internal stakeholders, vendors, and field locations.
  • Analyze operational processes, identify improvement opportunities, and contribute to strategic initiatives and departmental reporting.
  • Oversee facility operations activities, including service requests, office moves, workspace planning, and vendor services.
  • Maintain facility records, asset inventories, and preventive maintenance documentation.
  • Administer emergency preparedness and business continuity programs and related documentation.
  • Manage procurement activities and supplier communications.
  • Maintain vendor records, contracts, insurance certificates, and renewal schedules.
  • Conduct sourcing activities, vendor evaluations, contract administration, and cost-saving initiatives.
  • Process invoices and perform budgeting, forecasting, and expense tracking activities.
  • Prepare operational reports, spending analyses, and performance metrics.
  • Lead facility project coordination efforts, monitor timelines and budgets, and provide project updates to leadership.
  • Maintain compliance-related records, procedures, and documentation.
  • Coordinate audit activities, safety programs, records retention, and regulatory compliance requirements.
  • Other duties and projects, as assigned.

Requirements

Education:* Associate's Degree, required

  • Bachelor's Degree in Business Administration, Facilities Management, Supply chain, Operations, or related field, preferred

Experience:* 2 years of experience in facilities, purchasing, operations, project coordination, business administration, or a related field.

  • Experience supporting leadership, managing vendors/contracts, budgeting, and reporting preferred.

Computer Skills:* Proficient in Microsoft Office Suite.

  • Experience with purchasing, accounting, or facilities management systems, preferred

Additional Requirements:* Ability to create reports, analyze data, and maintain accurate records.

Other Details

Work Hours:* Generally, 8:00 am - 5:00 pm with occasional irregular hours depending on workload.

Travel Requirements:* Minimal (0%-25%)

Compensation:* This is an hourly position paid biweekly.
