The Role:
The primary responsibilities of the Executive Operations Coordinator are to provide administrative and project support to the CEO, COO, CPO, establish sales processes, and keep a suite of senior sales contractors organized. One day you’ll be planning executive travel, the next you’ll be building a sales pipeline, the next creating CRM automations, then building a deck for a huge enterprise pitch, then organizing a dinner series with executives, then expanding our office. As a boutique firm, every day will be different and the learning opportunities will be immense.
We’re looking for a smart, positive generalist that can grow. We actively promote growth in our employees, allowing them to lead projects on their own, grow into larger roles, and interact with clients. Immediate tracks for this role include sales, account management, product, operations, or executive administration. The choice is yours.
The Basics Day to Day:
- Scheduling all appointments, meetings and conferences and maintaining calendars with C-suite level clients and internal consultants.
- Take notes and track follow-ups for client meetings, and internal staff meetings.
- Manage several detailed project roadmaps for the sales organization, including regular improvements to our CRM (customer relationship management) software stack, devising new pipeline processes, and streamlining the lead to sales process.
- Developing and maintaining good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external customers.
- Acting as liaison between executive management and staff members, customers, and vendors.
- Coordinating all business travel (domestic and international) and arranging travel schedule, reservations, and event programs
- Using spreadsheet, word processing, graphics, forms, and chart software to create and edit presentation materials, reports, and other documents.
- Develop and update sales materials to support business development with the firm, including decks, one-sheets, images,
- Establishing and maintaining filing systems. Ensure the corporate filing system is up to date by keeping accurate copies of projects, correspondence, and/or other related materials.
- Send, track, and monitor cash flow and invoices to clients in coordination with our accounting firm.
- Plan and manage internal team events. Be the point contact for catering and outside vendors while communicating and engaging with internal teams about events.

Educational and Position Requirements:
- Bachelor's Degree Preferred.
- 1 to 2 years of previous assistant work within a media, advertising, or entertainment company such as a talent agency, ad agency, management company, production firm, media firm or publisher.
- Strong PC skills and knowledge of Canva, Google slides, excel, basic business software are required.
- Superb organizational, communication and grammatical skills with a strong attention to detail required.
- Excellent planning, scheduling and problem-solving skills.
- Must be able to work professionally with flexibility in handling multiple priorities in a fast-paced environment
- A passionate, can-do attitude for a job that doesn’t always have a clearly defined roadmap.

Compensation and Benefits:
- $45,000-$50,000 base salary
- Discretionary annual bonus at 5% of base salary, dependent on performance and company performance
