Job Description

GENERAL SUMMARY

Facilitates day to day contract machining sales and production activities while providing external customer service and internal administrative support to the Sales and Production departments. Utilizes computers, the internet, and other office equipment to monitor, track, and respond to customer communications, including telephone calls, emails, postal mail, and faxes related to current customer orders, requests for quotation, purchase orders, and purchase order amendments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administration:

  • Maintains regular and punctual attendance, follows established procedures, and safety regulations; completes required paperwork and documentation accurately and timely; meets deadlines and effectively manages priorities; contributes to the company's mission and quality policy through teamwork, communication, organization, and collaboration.
  • Actively demonstrates compliance with ISO 9001 \& AS9100 Quality Management System requirements in all day-to-day activities.
  • Processes new customer purchase orders and verifies part numbers, pricing, quantities, revision levels, and other applicable purchase order contractual terms.
  • Utilizes the ERP system to create and modify customer orders, verify stock levels, and initiate new work order releases
  • Communicates part revision discrepancies to Sales and Engineering.
  • Communicates with Sales and Production teams to initiate contract reviews
  • Processes electronic data interchange transactions on a daily basis, including verification of new purchase orders, purchase order revisions and amendments, purchase order cancellations, and maintenance and communication of planned delivery dates (promise dates).
  • Maintains accurate and current ERP system based on electronic data interchange transactions, customer communications, and internal updates from the Production team.
  • Conducts follow-up with prospective and existing customers by telephone and email to qualify leads and promote company products and services.
  • Assists in converting calls and inquiries into sales through timely and professional communication by telephone, email, or in person.
  • Assists with processing requests for quotation and submission of quote responses to customers.
  • Assists in resolving accounts receivable and accounts payable issues through timely communication and coordination with customers and internal departments.
  • Establishes and maintains professional relationships with existing and potential customers. Identifies customer-specific requirements, usage, service expectations, and key contacts, and coordinates with appropriate RPM Associates to ensure customer needs are addressed.
  • Reviews, prioritizes, and responds to daily correspondence, including telephone calls, emails, postal mail, and other customer communications, or refers matters to the appropriate personnel.
  • Investigates and assists in resolving customer shipping, delivery, and order-related issues.
  • Provides input to sales forecasting activities and supports strategic sales plans aligned with company goals.
  • Works with the Sales department to maintain accurate account activity and sales literature.
  • Reviews gross profitability reports and applicable part pricing guidelines and identifies potentially unprofitable part numbers or product items for review by appropriate personnel, including Sales and Engineering.
  • Assists Sales, Production, and other departments with administrative and customer-related activities as needed.
  • Proactively contributes to the company's mission and quality policy through teamwork, effective communication, organization, and continuous improvement.

DESIRED MINIMUM QUALIFICATIONS

Education and Experience

  • Associate's degree (A.A.S.) or equivalent from two-year college or technical school
  • One year to two years demonstrated experience is a job cost/order entry capacity or equivalent combination of education and experience.
  • This position also requires an individual with demonstrated organizational and computer skills.

Knowledge, Skills and Abilities

  • Ability to implement long and short range goals for the organization, taking into consideration the mission of the organization.
  • Ability to establish and maintain effective working relationships with customers and to people at all levels of the organization.
  • Ability to read and comprehend simple instructions, correspondence and memos.
  • Ability to calculate figures and accurately enter amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume with the ability to apply concepts of basic algebra and geometry as needed.
  • Strong verbal and written communication skills with the ability to communicate professionally and effectively by telephone, email, and in person.

Pay: $20\.00 - $25\.00 per hour

Expected hours: 40\.0 per week
