Job Description

Position Summary

The SOP \& Training Content Specialist transforms complex operational processes into clear, ready-to-use Standard Operating Procedures (SOPs), training materials, and reference documentation. This role does not require subject matter expertise. Instead, it demands exceptional listening, synthesis, and writing skills — the ability to attend meetings, review recordings, and absorb information from process owners, then translate that knowledge into polished, professional materials that teams can immediately put to use.

Why This Role Exists

Our teams run complex, multi-step processes that live in people’s heads. This role bridges the gap — capturing institutional knowledge from meetings and walkthroughs and turning it into documentation that enables consistent execution, faster onboarding, and scalable training.

Key ResponsibilitiesDocumentation \& SOP Development

Attend meetings, process walkthroughs, and working sessions to capture operational procedures

Review recorded meetings, videos, and screen captures to extract process steps and key decisions

Draft, format, and publish SOPs, job aids, checklists, and quick-reference guides

Organize complex, multi-step workflows into logical, easy-to-follow sequences

Maintain a documentation library with version control and regular review cycles

Training Material Development

Convert process documentation into structured training guides, workbooks, and onboarding materials

Build training outlines, facilitator guides, and participant handouts from source information

Create scenario-based exercises and knowledge checks based on operational procedures

Adapt materials to different audiences (new hires, cross-training, leadership overviews)

Collaboration \& Knowledge Capture

Partner with subject matter experts to verify accuracy before materials are published

Ask clarifying questions to fill gaps in process information without deep domain expertise

Coordinate review and approval workflows with process owners and managers

Flag inconsistencies, ambiguities, or missing steps identified during documentation

Quality \& Continuous Improvement

Ensure all materials meet established formatting standards and style guidelines

Conduct periodic reviews of existing documentation for accuracy and relevance

Track and incorporate feedback from end-users and trainers

Suggest improvements to documentation structure and delivery formats

QualificationsRequired

2\+ years of experience in technical writing, instructional design, operations support, or a related field

Exceptional written communication skills — clear, concise, and professional

Strong active listening and note-taking ability during meetings and presentations

Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel) or Google Workspace

Ability to organize and present complex information in a structured, logical format

Self-directed with strong attention to detail and the ability to manage multiple projects

Preferred

Experience creating SOPs, process documentation, or training content in an operational environment

Familiarity with instructional design principles (ADDIE, SAM, or similar frameworks)

Exposure to tools such as Snagit, Loom, Confluence, Notion, or LMS platforms

Experience working in fast-paced environments such as logistics, healthcare, manufacturing, or retail operations

Basic understanding of process improvement concepts (Lean, Six Sigma, etc.)
