Role Overview
We are seeking a highly organized, data-driven, and commercially astute Purchasing \& Operations Executive to lead our pharmacy's procurement pipeline and administrative operations. The successful candidate will act as the operational bridge between strategic supply chain management, infrastructure project maintenance, and clinical service delivery. This dual-focused role carries two paramount mandates: first, to drive absolute cost-efficiencies and inventory optimisation across all retail and clinical product lines; and second, to rigorously oversee, support, and audit the execution of the pharmacy's Performance, ensuring total regulatory, systemic, and commercial compliance.
Key Responsibilities
Procurement \& Purchasing Strategy
· Constant Stock Monitoring: Establish, maintain, and analyse rigorous stock tracking mechanisms to monitor stock velocity across dispensing drawers, retail shelves, and the main storeroom to prevent stock-out incidents or excess capital tie-up.
· Strategic Ordering \& Cycle Optimisation: Determine optimal ordering thresholds, batch frequencies, and buffer margins based on consumption trends, seasonal demand, and supplier lead times, ensuring zero operational downtime.
· Commercial Vendor Negotiations: Negotiate commercial terms with wholesale distributors and local agents. Constantly research to achieve the absolute lowest input cost prices without sacrificing quality or regulatory compliance.
· Supplier Reverse Logistics \& Returns Management: Serve as the ultimate custodian for short-dated, slow-moving, or expired products. Direct accountability for ensuring that suppliers physically pick up expired items on a timely schedule and issue corresponding stock replacements, financial credits or refunds.
Operations Management
· Ensure that Pharmacy is being run properly and executes strict inventory compliance and other needed reporting to ultimately run smooth operations that achieves 100% process competency, low service degradation or operational downtime.
· Serve as the primary point of contact and bridge for external IT support providers. Manage, troubleshoot, and proactively ensure that the pharmacy point-of-sale (POS) systems, inventory databases, network servers, public department connections, and digital terminals run smoothly with minimal disruption.
· Act as the lead coordinator and overall project manager for any internal or external maintenance, facility upgrades, and structural refurbishment projects. Direct contractor timelines, handle budgetary constraints, manage disruption mitigating strategies during operating hours, and verify work quality.
· Oversee all physical security systems across the pharmacies, including CCTV networks, automated alarm monitoring, access control systems, and shutter mechanics. Ensure all systems are in pristine working order.
Requirements and Qualifications
· Minimum of 3 years of proven experience in purchasing, procurement negotiation, supply chain management or operations execution, ideally within the pharmaceutical or healthcare sector.
· A degree in Business Administration, Logistics, Supply Chain Management, Operations Management or a closely related filed will be considered as an asset.
· Demonstrated experience in managing performance workflows and achieving objective KPI metrics.
· Ability of lead and be responsible for projects and other matters.
