Junior Vendor Management Associate

The

Junior Vendor Management Associate

supports the Technology

organization in all vendor-related operational tasks primarily

onboarding, offboarding, contract administration support, and

Documentation strictly following the globally defined Service Provider

Management (SPM) processes.

Vendor Lifecycle (Onboarding \& Offboarding)

  • Execute onboarding and offboarding steps according to the global SPM process
  • Coordinate required artifacts: SOWs/MSAs/POs, NDAs, DDQs (if applicable)
  • Ensure vendor records are complete and current in the designated systems of record (e.g., ServiceNow vendor item, CMDB/CI, contract repository).

Third-Party Risk Management (TPRM) Support

  • Execute third‑party risk management tasks in alignment with the organization’s DORA-compliant procedures, ensuring that all critical and non-critical ICT vendors follow the required assessment and documentation process.
  • Coordinate collection of vendor information needed for DORA compliance, including ICT service descriptions, subcontractor disclosures, data location, service criticality, and resilience controls.

Financial \& Contract Administration Support

  • Assist with PO creation, invoice receipt validation against SOW/PO, and accrual inputs; liaise with Finance on queries.
  • Maintain a renewal calendar (contracts, licenses, assessments) and notify owners ahead of key dates.

Stakeholder Coordination \& Tooling

  • Serve as the Tech team’s single-threaded coordinator for vendor-related tickets and requests.
  • Produce simple reports and dashboards if needed.

Qualification:

  • 2–4 years of experience in vendor management operations, procurement support, IT service management, or risk/compliance support.
  • Basic understanding of contracts/SOWs, SLAs/OLAs, and IT service delivery concepts (ITIL foundations is a plus).
  • Exposure to TPRM concepts (risk questionnaires, evidence collection, remediation tracking) preferred.
  • Strong organization and follow-through; able to manage multiple tickets and deadlines simultaneously.
  • Clear and professional communication with vendors and internal stakeholders.
  • Proficiency with Excel; basic reporting skills.
  • Bachelor’s degree in Business, IT, or related field (or equivalent experience).
