Job Description

Our client is a law firm. They seek a Legal Team Assistant to join their Manhattan, NY office.

Responsibilities

  • Coordinate legal administrative support for attorneys and clients by reviewing, tracking, routing, and owning requests through completion while anticipating needs and meeting deadlines
  • Prepare and edit legal documents, spreadsheets, blacklines, pleadings, filings, pro bono audit letters, and presentation materials, ensuring accuracy, formatting, and quality standards
  • Partner with internal teams to deliver seamless administrative and document support
  • Conduct competitive intelligence research and utilize machine learning tools to analyze language relevance, refine search parameters, and support business development databases
  • Maintain complex electronic and paper filing systems, including NetDocuments, records management, archiving, security compliance, and client-specific requirements
  • Process vendor invoices, expense reimbursements, disbursements, new business intake forms, and ongoing compliance with engagement letters and outside counsel guidelines
  • Support billing activities by coordinating with the Billing Department and assisting with client bill preparation and accuracy checks
  • Manage attorney calendars, contacts, meetings, court dates, conference logistics, and CRM/Business Development system updates
  • Handle correspondence, phone calls, visitors, mail, messenger services, travel arrangements, itineraries, and expense reports
  • Provide general administrative and case support, including special projects and additional duties as assigned

Requirements

  • High school degree required; college degree preferred
  • 2-5\+ years of administrative or clerical support experience
  • Experience in a professional services environment required
  • Experience working effectively in changing team environments and the ability to work collaboratively
  • Strong client service orientation
  • Strong inter-personal skills
  • Strong written and verbal communication skills
  • Ability to work well under pressure and meet deadlines
  • Ability to handle privileged, confidential, and sensitive information
  • Strong computer/general database skills
  • Willingness to learn new technology and software platforms
  • Proficient in Microsoft Office
  • Available to work a hybrid schedule
