Overview
This position involves serving as the first point of contact for patients and visitors by greeting them in a prompt, courteous, and professional manner. Responsibilities include ensuring all required patient forms are completed accurately and signed according to company guidelines, scheduling appointments and medical tests efficiently, answering incoming phone calls, and directing them to the appropriate staff members. The role also requires acting as a liaison between patients and medical personnel, providing excellent customer service, maintaining organized records, and supporting the smooth daily operation of the medical office through effective communication and administrative coordination.
Responsibilities
- Reviewed and processed incoming faxes, uploaded referrals, records, insurance documents, and correspondence to patient charts, and routed clinical documents appropriately.
- Verified referral requirements, confirmed referral validity, tracked expiration dates, and coordinated updates for missing or incorrect referrals.
- Confirmed insurance eligibility for in-office laboratory services and documented coverage restrictions.
- Reviewed patient accounts for outstanding balances, discussed payment responsibilities, and directed billing inquiries to the appropriate department.
- Assisted patients with payment plan options, documented arrangements, and followed office financial policies.
- Collected copayments, deductibles, coinsurance, and balance payments while maintaining accurate records and patient confidentiality.
- Answered and routed telephone calls, assisted with scheduling inquiries, and documented communications as needed.
- Scheduled, rescheduled, and canceled appointments while ensuring compliance with provider and office guidelines.
- Communicated effectively with clinical staff, billing personnel, authorization teams, management, and other office personnel regarding patient care and administrative matters.
- Uploaded and maintained accurate referral documentation, including authorization numbers, effective dates, expiration dates, and approved visits.
- Requested referrals from primary care and referring providers, followed up on pending requests, and documented all communication.
- Performed new and established patient check-in procedures, verified demographic and insurance information, collected required forms and payments, and notified clinical staff of patient arrivals.
- Maintained daily collection logs, reconciled payments, followed cash-handling procedures, and reported discrepancies.
- Verified insurance coverage, benefits, copayments, deductibles, referrals, and authorizations for upcoming appointments and updated patient records accordingly.
- Provided exceptional customer service while supporting front-office operations and performing additional duties as assigned.
Skills
- Proven experience in medical office management or healthcare administrative support, including front desk duties and clerical tasks.
- Strong knowledge of medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing procedures.
- Familiarity with EMR (Electronic Medical Records) systems.
- Ability to verify insurance details accurately
- Excellent customer service skills with the ability to communicate clearly and compassionately with diverse patient populations
- Must be fluent in English and Spanish.
- Proficiency in Microsoft Office Suite (Word, Excel).
- Experience working in medical office or hospitals is highly desirable; familiarity with medical terminology is advantageous.
- Knowledge of HIPAA compliance standards to ensure patient confidentiality at all times.
