Location:

Little Silver, NJ (with multi-site oversight in Lakewood and Colts Neck, NJ)

Schedule:

Full-Time, Monday – Friday, 8:00 AM – 5:00 PM (or 9:00 AM – 5:00 PM). On-call availability as needed for operational or provider matters.

About the Role

We are seeking an experienced, dynamic

Practice Administrator

to direct operations across our three thriving medical office locations. Managing a footprint of 55 clinical and administrative staff members and supporting a practice volume averaging 1,500 deliveries annually, the Practice Administrator will drive high-quality patient experiences, financial health, staff development, and physician alignment.

Key Responsibilities

Operational Leadership \& Staff Management

  • Direct Supervision:

Directly lead four core personnel: Payroll/Administrative Lead, two Frontline Clinical Managers, and a Billing Director (including actively participating in hiring and onboarding for the vacant Billing Director role).

  • Team Oversight:

Manage training, scheduling, performance evaluations, and team alignment for 55 clinical and administrative staff across three practice locations.

  • Workflow \& Patient Experience:

Implement structured workflows to maintain a seamless, high-quality patient experience across high-volume clinical operations.

  • Policy Governance:

Regularly review and update practice policies, including employee handbooks, PTO structures, and compliance protocols.

Financial, Benefits \& Regulatory Administration

  • Financial Performance:

Oversee annual operating budgets, expenditures, and revenue cycle management (RCM) in partnership with the billing team.

  • Benefits Administration:

Manage practice-wide corporate benefits, healthcare packages, and corporate 401(k) plans.

  • Risk \& Compliance:

Manage comprehensive medical malpractice insurance policies and ensure strict regulatory compliance across all entities.

Physician Relations \& Hospital Coordination

  • Hospital Integration:

Manage hospital call arrangements and operational alignment with Monmouth Medical Center.

  • Provider Scheduling:

Oversee physician scheduling, template management, and complex call rotations to minimize disruptions and optimize resource utilization.

  • Recruitment \& Liaison:

Serve as the primary liaison between staff, operations, and physician leadership with transparent reporting. Lead physician recruitment efforts, including candidate sourcing, reviewing applications, and coordinating interviews.

Qualifications \& Requirements

Required:

  • Experience:

Proven, hands-on experience as a Practice Administrator or Medical Practice Manager overseeing budgets, compliance, HR, medical malpractice, and revenue cycle management.

  • Multi-Site Leadership:

Demonstrated ability to manage multi-location practices and a combined staff footprint of 50\+ employees.

  • Education:

Bachelor’s degree in Healthcare Administration, Business Administration, or a related field.

  • Travel:

Ability to maintain a regular physical presence at the primary site in Little Silver, NJ, alongside routine operational oversight in Lakewood and Colts Neck, NJ.

Preferred:

  • Specialty Background:

Prior leadership experience in OB/GYN, Women’s Health, or high-acuity medical environments (e.g., Cardiology, Fertility, Outpatient Surgical Centers) is strongly preferred.

  • Advanced Degree:

Master of Healthcare Administration (MHA) or MBA is preferred.
