The Practice Coordinator is responsible for various administrative and operational functions to support the Division to which the Practice Coordinator is assigned. The Practice Coordinator will act as a resource to the hospital, providers, and patient community.

Paid Time Off:

Responsibilities

These are your responsibilities :

Schedules

  • Assists in creation, implementation, and maintenance of scheduling application (Qgenda)
  • Populates Daily and Call Schedules according to Coverage Map and in partnership with site clinical leadership
  • Assists with filling vacancies and ensuring vacation discipline based on the allotted number of clinicians allowed off at a given time
  • Creates relationships with clinicians, full-time, locums and per diems, to facilitate scheduling and be a point of contact for issues, concerns, or questions

Payroll

  • Daily Timecard Review/Reconciliation including missed punches
  • Audit Labor Distribution Report and assist with month-end variance reports
  • Carefully review payroll registers to correct any payroll errors prior to payroll processing
  • Keeps a running audit sheet with any needed adjustment for reference after processing

Recruitment/Onboarding Support

  • Schedules candidates for interviews with key hospital personnel and site leadership
  • Assists in collaborating and coordinating site new hire orientations

Clinician Request/Inquiries

  • Creates and builds relationships with each respective clinician
  • Responds to clinician requests and/or triage clinician issues with the appropriate parties
  • Assists HR in interfacings with clinician for benefit enrollment, FMLA, work-related injuries, dental claims, etc.
  • Works collaboratively with client services departments to complete/process necessary forms for Credentialing, Payroll, Human Resources, and Legal to ensure timelines of clinician contracts
  • Works collaboratively with Chart Acquisition, Revenue Cycle Management, and Document Education teams to ensure any missing documentation is completed in a timely fashion

Rosters

  • Maintains facility rosters (with contact information) for each location and conducts periodic reviews with Operations and site clinical leadership to ensure accuracy within all systems

Department Meetings

  • Assists in coordination of anesthesia department meetings, attends, and takes and distributes minutes as appropriate

Qualifications

To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills and/or abilities required.

  • Strong understanding of healthcare terminology, billing, and compliance requirements for a hospital setting
  • Strong organizational skills, with ability to effectively prioritize work daily and follow up on open items in a timely manner
  • Ability to multi-task in a fast-paced environment while meeting established production and quality goals/metrics
  • Able to communicate and work well in a team environment

Education/Experience

  • High School Diploma or General Education Degree (GED) and 2 or more years of related experience; Associates Degree preferred
