Job Description

About Xentegra

XenTegra is an influential partner in technology solutions, redefining the role of value-added resellers as a VAR 2\.0 breaking the mold of the traditional models. We offer a comprehensive suite of IT Managed Services, Support, and advanced technology deployments, enriched by the strategic use of AI to enhance delivery and operational efficiency. Our solutions span Cloud Infrastructure, Virtual Workspaces, IT Service Management, Productivity Applications and Cybersecurity. Our mission is to engage, listen and deliver the right enterprise technologies, fostering a community of innovation and success for our clients and partners.

THE OPPORTUNITY

We are looking for a detail-oriented, organized, and proactive PMO Analyst to join our growing Project Management Office. This is an entry-level role designed for someone who thrives in structured environments, enjoys working with data and reporting, and wants to build a career in technology project management. You will play a key role in keeping our project portfolio running smoothly — from maintaining data integrity in Halo PSA to producing executive-ready dashboards and supporting continuous improvement initiatives.

What You'll Do

Data Integrity \& Halo PSA

  • Maintain data quality standards in Halo PSA and perform routine audits and corrections in partnership with project managers and technical owners.
  • Ensure accuracy and completeness of required fields to support reliable reporting across the portfolio.

KPI Reporting \& Dashboards

  • Produce recurring KPI dashboards and executive-ready reporting packs on an agreed cadence.
  • Track trends, highlight exceptions, and surface insights that help leadership make informed decisions.

PMO Cadence \& Meeting Management

  • Coordinate the PMO operating cadence by preparing agendas and materials in advance of meetings.
  • Capture notes, decisions, and action items and manage follow-through through to closure.

Documentation \& Governance Artifacts

  • Maintain and continuously improve PMO SOPs, templates, and standard artifacts to promote consistency across projects.
  • Serve as a steward of documentation standards across the PMO.

Risk Tracking \& Lessons Learned

  • Support the PMO Risk Tracker for challenged and at-risk projects, including documentation upkeep and escalation action tracking.
  • Coordinate post-mortems and capture lessons learned to drive continuous improvement.

What We're Looking For

  • Bachelor's degree or equivalent experience in business, information systems, or a related field.
  • Strong Excel skills and comfort working with structured data and reporting.
  • Ability to manage multiple priorities, communicate clearly, and follow through on action items without losing details.
  • Organized, methodical, and dependable -- you take ownership of your work.
  • Familiarity with IT infrastructure or EUC concepts is a plus.
  • Experience with Halo PSA is a plus, but not required -- we'll train the right person.

What Success Looks Like (first 60-90 Days)

  • You have established consistent Halo PSA data hygiene routines and measurably improved completeness and accuracy of required fields.
  • KPI reporting is being delivered reliably on the agreed cadence with minimal rework.
  • PMO meetings run smoothly with prepared materials, clean action item capture, and timely follow-through -- including escalation and lessons learned documentation where applicable.
