Job Description
As a Senior Project Manager at Mediatropy, you will be a key driver of client success and operational excellence across a portfolio of high-value, complex digital projects. This is a senior individual contributor and leadership role that goes beyond task management — you will own the end-to-end tech project lifecycle, contribute to business development through proposal and quotation work, and serve as a trusted strategic partner to both clients and internal stakeholders across multiple regions. You bring a deep understanding of the digital agency ecosystem, a calm head under pressure, and the ability to harness AI tools to raise the bar for how your team operates. Key Responsibilities
Business Acumen \& Commercial Management
- Manage the P\&L for your project portfolio, maintaining healthy margins and proactively flagging commercial risks to leadership.
- Lead the development of tech proposals, quotations, and scope-of-work documents in partnership with the Project Director, Business Development and Account Management teams.
- Oversee large-scale, multi-workstream projects with minimal supervision, making sound decisions independently while keeping leadership appropriately informed.
- Identify and pursue upsell and cross-sell opportunities within existing client accounts, contributing to agency revenue growth.
Project Planning \& Delivery
- Develop and maintain comprehensive project plans including timelines, milestones, risk management, resources burn rate and allocation across concurrent engagements.
- Collaborate with cross-functional teams to define and lock in profitable project scope, objectives, and success metrics from the outset.
- Proactively manage scope creep, escalation pathways, and project risks with clear mitigation strategies.
- Ensure all deliverables meet quality standards and are shipped on time and within budget.
Stakeholder Management
- Be an effective strategic technical consultant to clients.
- Build and maintain strong working relationships with senior client stakeholders, internal leadership, and cross-regional team members.
- Navigate complex stakeholder dynamics with confidence — managing expectations, resolving conflicts, and aligning diverse parties toward shared outcomes.
- Lead regular status reviews, executive briefings, and strategic planning sessions with both client and internal stakeholders.
- Act as a solution-oriented partner: when challenges arise, you come to the table with strategic options, not just problems.
Digital Agency Lifecycle \& Cross-Functional Collaboration
- Demonstrate a holistic understanding of the digital agency model — from strategy and creative through to development, performance, and analytics — and how each function contributes to client outcomes.
- Serve as the connective tissue across departments, ensuring teams are aligned and working in an integrated rather than siloed fashion.
- Partnering with UIUX, Creative, SEO/GEO, Paid Media, and Analytics leads to shape delivery approaches that leverage the best of the agency's capabilities.
- Contribute to internal process improvement, tooling decisions, and capability-building initiatives that elevate agency-wide delivery standards.
Client Servicing \& Relationship Development
- Serve as the primary and most trusted point of contact for senior clients, cultivating relationships that go beyond transactional email exchanges.
- Invest in understanding each client's business, industry landscape, and strategic priorities so you can anticipate their needs before they articulate them.
- Represent Mediatropy with professionalism and warmth across all touchpoints — in-person meetings, workshops, presentations, and day-to-day communication.
- Drive client satisfaction and retention by consistently delivering value and demonstrating genuine partnership.
AI Skillset \& Workflow Innovation
- Go beyond using AI as a chatbot — actively leverage tools such as Claude Code, GitHub Copilot/Codex, and other AI-native platforms to automate repetitive admin tasks and streamline project workflows.
- Identify and implement AI-driven improvements across reporting, documentation, briefing, scheduling, and client communication processes.
- Champion a culture of experimentation and efficiency within the Tech team, sharing learnings and building internal best practices around AI-augmented ways of working.
- Stay current with developments in AI tooling relevant to project management and digital delivery, and proactively advocate for adoption where it drives real impact.
Qualifications \& Requirements
Experience
- Minimum 8–10 years of project management experience, with at least 5 years in a digital agency environment.
- Experience in developing tech or digital proposals, quotations and leading complex conversations with senior level clients on budget, strategic directions, contract negotiation is strongly preferred.
- Demonstrated track record of owning P\&L and delivering large-scale, complex tech projects independently.
- Exceptional verbal and written communication skills, with the ability to deliver impactful presentations or workshops independently.
Stakeholder \& Client Management
- Proven ability to manage and influence senior stakeholders — both client-side and internal — across different cultures, time zones, and functions.
- Confident communicator who can hold a room, navigate difficult conversations, and build lasting trust.
Digital \& Technical Knowledge
- Solid working knowledge of digital project types including website development, CMS platforms, mobile application, SaaS, digital campaigns and marketing automation.
- Familiarity with project management methodologies (Agile, Scrum, Waterfall) and the ability to apply them pragmatically to each engagement.
- Proficiency in project management tools such as Jira, Asana, Notion, or equivalent.
AI Fluency
- Hands-on experience with AI tools beyond conversational chatbots — e.g., Claude Code, Codex, or equivalent platforms used for workflow automation or prototyping.
- Comfortable experimenting with, evaluating, and operationalising new AI tools in a professional agency context.
Soft Skills
- Composed and solutions-focused under pressure — you remain calm, clear, and effective in fast-moving or ambiguous situations.
- Strong interpersonal skills with the ability to forge genuine relationships with colleagues, clients, and partners across different cultures and regions.
