The Opportunity

The IT Vendor Licensing and Asset Manager is responsible for managing the organization’s technology vendor relationships, software licensing, hardware and software asset lifecycle, contract compliance, and related cost optimization activities. This role ensures accurate tracking of IT assets and license entitlements, supports vendor performance management, coordinates renewals, and helps maintain compliance with contractual, financial, security, and operational requirements. The IT Vendor Licensing and Asset Manager partners closely with IT leadership, Procurement, Finance, Legal, Information Security, business stakeholders, and external vendors to strengthen governance, reduce risk, improve visibility, and maximize value from technology investments.

What you will do?

  • Coordinate IT vendor lifecycle activities, including onboarding support, contract tracking, renewal planning, vendor performance reviews, and offboarding coordination.
  • Partner with Procurement, Legal, Finance, Information Security, and IT leaders to support contract negotiations, renewal decisions, purchase requests, and vendor risk reviews.
  • Maintain an accurate inventory of IT vendor agreements, renewal dates, service levels, licensing terms, support commitments, and key contract obligations.
  • Manage software license entitlements, subscriptions, renewals, true-ups, usage reviews, and compliance documentation across enterprise technology platforms.
  • Analyze license utilization and recommend opportunities to reduce waste, right-size subscriptions, reclaim unused licenses, and optimize technology spend.
  • Support internal and external software audits by gathering entitlement records, deployment data, usage evidence, purchase documentation, and remediation plans.
  • Manage contract renewals for IT vendors and work closely with the Accounts Payable team.
  • Administer and improve IT asset management processes for hardware, software, cloud subscriptions, mobile devices, peripherals, and other technology assets.
  • Maintain asset records, ownership, location, assignment, warranty, lifecycle status, disposal documentation, and finance-related asset details in approved systems.
  • Coordinate asset procurement, receiving, deployment, transfer, refresh, retirement, reclamation, and disposal activities in alignment with company policies.
  • Prepare reports, dashboards, and metrics related to vendor spend, upcoming renewals, license utilization, asset inventory accuracy, compliance status, and cost savings opportunities.
  • Develop and maintain ITAM, SAM, licensing, and vendor management procedures, standards, documentation, and process workflows.
  • Identify process improvement and automation opportunities to improve asset visibility, strengthen controls, reduce risk, and enhance stakeholder service delivery.

Required Qualifications

  • ???????5–7 years of relevant experience in IT vendor management, software asset management, IT asset management, procurement, contract administration, finance operations, IT operations, or related fields.
  • Bachelor’s degree in Information Technology, Business Administration, Supply Chain, Finance, Management Information Systems, or related field; equivalent work experience may be considered.
  • Certified IT Asset Manager (CITAM), Certified Software Asset Manager (CSAM), ITIL, Certified Hardware Asset Management Professional (CHAMP), PMP, Microsoft licensing, or related vendor management, procurement, or asset management certifications a plus but not required.

Preferred Qualifications

  • Strong understanding of IT vendor management, software asset management, hardware asset lifecycle management, procurement processes, and contract administration.
  • Experience managing software licensing, subscriptions, renewals, entitlement records, usage analysis, compliance reviews, and vendor documentation.
  • Ability to analyze asset and licensing data, identify discrepancies, recommend cost optimization actions, and communicate findings to stakeholders.
  • Knowledge of IT service management, IT asset management, software asset management, vendor risk, and technology governance best practices.
  • Excellent communication, negotiation support, analytical, problem-solving, documentation, and organizational skills.
  • Experience with ITSM, ITAM, SAM, procurement, contract management, ERP, or reporting tools is preferred.
